What this diagram shows

A flowchart workflow visualises the sequence of steps, decisions, and actions in a process from start to finish. Data or tasks move through decision points (diamonds) where the path branches based on conditions, through process boxes (rectangles) where work happens, and past terminators (ovals) that mark entry and exit. The flow shows who does what, when, and in what order, making implicit procedures explicit and revealing bottlenecks or redundant steps.

Key components

• Terminator — Marks the start or end point of the workflow with oval shapes.
• Process Box — Represents a single action, task, or operation that must be completed.
• Decision Diamond — Branches the flow based on a yes/no question or condition.
• Arrow Connector — Shows the direction and sequence of movement from one step to the next.
• Data Input/Output — Represents information entering or leaving the process as a parallelogram.
• Merge Point — Combines multiple paths back into a single flow path after conditional branches.

When to use it

Use flowchart workflows when you need to document sequential processes, train staff on procedures, identify where decisions occur, or validate process logic before implementation. They work well for approval chains, customer journeys, system troubleshooting steps, onboarding checklists, and any repeatable series of actions where clarity about order and conditions matters. Flowcharts are most effective when the process has clear steps and few parallel activities.

Common mistakes

• Mixing different symbols inconsistently (using rectangles for both decisions and actions), making readers guess what each shape means.
• Creating flowcharts too detailed with every micro-step, resulting in an unreadable diagram that obscures the main process logic.
• Leaving decision diamonds with unclear or missing labels, so viewers cannot understand what condition determines each branch.

Adapting it to your system

Replace generic labels like 'Process 1' with actual task names from your system (e.g. 'Validate Invoice', 'Send Approval Email'). Map real decision criteria into each diamond (e.g. 'Amount > £5000?'). Add swimlanes if multiple teams are involved. Specify data inputs (forms, files, databases) and outputs (reports, notifications) using the parallelogram shape. Test the flowchart by walking through actual scenarios end to end to catch missing branches or illogical sequences.
